Repair calls are generally paid on completion. System replacements often take a deposit of a third to a half when the equipment is ordered, with the balance due at start-up and commissioning; financed jobs are paid by the lender. Maintenance agreements are billed in advance for the period they cover. Commercial clients commonly expect net 30 and may want the unit's asset tag or location on the invoice.
State the refrigerant type and the pounds added, and note any leak found. A charge tied to a measured quantity is much harder to dispute than a lump sum.
When the manufacturer covers the part but not the labor, say so. Showing the part at $0 next to the labor line prevents “I thought this was under warranty” calls.
Record the call time and mark the job as emergency service. A premium is easier to accept when the invoice shows an 11:40 pm dispatch.
