Overview

ServiceInvoicing (“we”, “us”) is an invoicing and client management platform for service businesses. This policy explains what information we collect when you visit this website or use the application, how we use it, and who we share it with. We do not sell personal information.

Information you give us

  • Account details — your name and email address, and, if you sign in with Google, the Google account identifier Google provides.
  • Business details — the business name, address, logo, tax rate, and invoice settings you save.
  • Your clients' details — the names, contact people, addresses, phone numbers, and email addresses you add to your client list.
  • Work records — invoices, line items, custom job fields, contracts and their signatures, and time entries you create.
  • Team members — the names and email addresses of employees you invite to your account.
  • Messages — anything you send us through the in-app Contact Us form.

Information collected automatically

  • Sign-in records — when you request or use a sign-in code we record the time and the IP address of the attempt, to rate-limit and protect accounts.
  • Usage analytics — this website uses Google Analytics to understand which pages are visited and how people arrive. Google Analytics sets its own cookies.
  • Browser storage — when you sign in we store a session token in your browser's local storage and a small cookie that tells the site you have an active session. These are needed for the application to work.

How we use information

  • To provide the service: create and store your invoices, generate PDFs, send emails you ask us to send, and run the client portal.
  • To sign you in and keep your account secure.
  • To bill paid subscriptions.
  • To answer your questions and support requests.
  • To understand how the website is used and improve it.

The data you enter about your business and your clients is yours. We process it only to run the service for you, and it is visible only to you and the team members and clients you grant access.

Service providers we share data with

We rely on a small number of providers who process data on our behalf:

  • Stripe — processes subscription payments. Card details are entered directly into Stripe's secure form; we never see or store your full card number.
  • Mailgun and our email provider — deliver sign-in codes, invoices, contracts, and portal invitations.
  • Google — Google Sign-In (if you choose it) and Google Analytics.
  • Hosting and database providers — run the website, the application, and the database that stores your account.

We may also disclose information if required by law, or to protect the rights, safety, or property of our users or the service.

Payments between you and your clients

ServiceInvoicing records whether an invoice is paid, pending, or overdue, but it does not process or hold payments between you and your clients. Any payment arrangement you list on an invoice is handled by you and your chosen payment provider.

Health and other sensitive information

ServiceInvoicing is a general-purpose invoicing tool. It is not designed to store protected health information, and we do not enter into HIPAA business associate agreements. If you bill for medical or health services, keep clinical details off your invoices and use only the identifiers your compliance obligations allow.

If you are a client of a ServiceInvoicing user

If a business sends you invoices or contracts through ServiceInvoicing, that business decides what information about you is stored. Please contact them directly to access, correct, or remove it.

Retention and deletion

We keep your account data for as long as your account is active. You can ask us to delete your account and its data through the Contact Us page in the application; we may retain limited records where we are legally required to, such as billing history.

Security

The site and application are served only over HTTPS. Sign-in uses one-time emailed codes or Google, so we never store a password for you, and session tokens are stored in hashed form on our servers. No system is perfectly secure, but we work to protect your information.

Children

The service is intended for businesses and is not directed at anyone under 18.

Changes to this policy

If we make material changes we will update the date at the top of this page and, where appropriate, notify account holders in the application or by email.
